Subaru Loaner Conditions

UPDATED TERMS AND CONDITIONS IN SERVICE

Dear Valued Sheehy Subaru of Hagerstown Guest,

In our continuing efforts to provide exceptional service experiences for ALL Sheehy Subaru of Hagerstown Guests, as of March 1, 2025, our loaner fleet team will begin implementing a few changes. These changes are necessary for compliance with strict insurance regulations and require guests to provide up-to-date credentials EACH TIME they are opening a rental contract. The required credentials are as follows:

  • Valid driver’s license
  • Valid insurance identification card
  • Valid credit card
  • Mobile phone number
  • Email address

A guest’s credit card will ONLY be used after being notified for the following:

  • Toll collections – Please note that toll organizations may be delayed by weeks in issuing violation notices. As a result, toll violation charges incurred may also be delayed. Also, please be advised that non-Delaware, non-Maryland, and non-Virginia toll authorities have been sending excessive administrative fees, in addition to the actual tolls.
  • Gasoline refueling – A fuel fee consistent with the current rate per gallon will be charged in instances where rentals are returned with a fuel level less than what was noted at the time of the contract signing.
  • Moving violations – Guests will be contacted prior to the collection of fees for any moving violation incurred while in the rental vehicle. This is to provide the guest an opportunity to choose a different credit card, if necessary. Moving violations include speeding tickets, traffic light violations, etc.
  • Insurance deductibles – A deductible sum will be collected in cases of collisions or damages to the rental vehicle. Please note that guests will be contacted by the rental fleet team in cases of collisions or damages.
  • Detailing fee – A fee of $150.00 will be charged in cases of evidence of smoke or pet hair. The guest will be contacted by the rental fleet team prior to being charged.
  • Missing key fobs – In the event of a lost key fob, a $500.00 fee for replacement will be charged. Additionally, a fee of $40.00/per day will be incurred for each day the original key fob is not returned to Sheehy Subaru Hagerstown.
  • Loaner Return – Should the rental vehicle not be returned within 24 hours of notice of service completion, a fee of $65/day will be incurred for each additional day.
